SANZIE HEALTHCARE SERVICES, INC. Job Title Admin Assist/Scheduler Reports to: Administrator Job Summary Responsible for all areas of Operations; human resources, intakes, clients, caregivers, and scheduling Administrative Receive referrals and inquiries on programs and services offered by Sanzie Healthcare Home Care Follow-up on referrals/inquiries of prospective clients for possible admission Attend weekly staff meetings, suggest agendas, take minutes and distribute to individuals, as appropriate Supervise and coordinate payroll-related activities to ensure timely and correct processing, including reporting of hours Supervise caregivers and complete performance appraisals for caregivers at specified intervals. Enter, maintain, and correct client, employee, payroll, billing, and related accounting data into the computer. Act as the Agency's ongoing liaison with governing body, staff members, and other personnel Implement Agency's policies and procedures and ensure Agency adheres to all State and Federal guidelines Visit prospective clients to complete documentation for admission (e.g. Service Agreement, Consent for Care) to introduce Sanzie Healthcare Services, Inc Home Care. Educate the community about Sanzie Healthcare Services, Inc programs by interacting with individuals and groups. Determine staffing needs --: recruit, select, hire, and orient caregivers and office staff Discipline and terminate personnel per company policies Validate weekly timesheets (timesheets must be signed, dated and tasks completed per POC), provide to payroll, and file in client's file after sign-off by Supervisor Audit caregiver files at least every week to ensure compliance Audit Client's files week to ensure compliance and removal of closed files Enter data in Axiscare and 4tellius. Maintain and ensure current and complete personnel records of caregivers and clients Respond to payer and caregiver requests for information on payroll and billing. Answer telephone, take inquiries or messages, and address issues using excellent telephone etiquette Respond promptly and courteously to all clients' calls Provide on-call service as scheduled Supervise and evaluate client satisfaction survey reports on all clients served Perform clerical duties and other responsibilities to include but not limited to typing and distribution of office records, memoranda, calendars, minutes, agendas, etc. assigned by Administrator Protect the confidentiality of patient, partner, and agency information Create action lists and provide all completed and pending tasks to the Administrator daily Work with the Administrator to coordinate, review, and adjust activities to problem-solve and achieve the goals of Sanzie Healthcare Services, Inc Home Care Participate in and contribute to the agency's Continuous Quality Improvement Plan Scheduling Create, input, and maintain staff schedules in Axiscare and 4tellius. Ensure that the numbers and qualifications of personnel available to provide services are sufficient to meet the needs of the clients Triage incoming calls from caregivers/clients for scheduling changes or services needed Schedule client appointments/visits according to care plans and staff availability Contact care providers and clients regarding day-to-day changes Discern client services required as outlined in agreements, urgent requests, and care plans Enters staff and client information into a database Maintain staff and client database (e.g. CQA, dates, and reminders of TB, client admission, supervisory visits, client hospital admission, and discharge). Education, Experience, Knowledge, Skills, Abilities, and Availability College diploma preferred or at least 2 years of relevant administrative/management experience Ability to multi-task and work well in a fast-paced environment while ensuring attention to detail Excellent interpersonal skills Excellent organizational abilities Excellent communication skills via phone, in person, and writing Excellent customer service skills and the ability to ensure all client and employee needs are met promptly Proficiency with Microsoft Windows-based programs such as Word, Excel, Outlook, Axiscare, 4-tellis, internet-based applications, etc. Able to work independently, demonstrating common sense and sound judgment, personable and a team-player Read, write, speak, and understand English fluently Ability to participate in after-hours on-call rotation Ability to pass the background check, including a criminal check Physical Demands (Reasonable accommodations may be made to assist individuals with disabilities) Must be able to walk, sit, stand, lift, bend and reach with hands and arms.
