MORGAN COUNTY Pay Grade: 18 Employment Status: Full-Time - Seasonal Hourly Pay: $25.00 - $30.00 DOE FLSA Status: Non-exempt Revision 04/12/2024 COUNTY FAIR COORDINATOR GENERAL SUMMARY / OVERVIEW Plans, prepares, promotes, and produces the annual county fair under the direction of the County Fair Board and County Commission. Is accountable for most responsibilities pertaining to the planning and production of the fair. Plans out the fair's schedule and prepares and oversees the production of advertising/promotional materials. Coordinates with the Livestock committee. Coordinates the efforts of the volunteer Fair board. Ensures all elements of the fair are set up and ready. Performs all monthly financial duties, coordinates bills with purchase orders, and submits payments. Acts as the public contact for the fair, interacting with the public, clients, and vendors. It is anticipated that this position will be: September - February 5 Hours per week. March - May 10 Hours per week. June - August 40 hours per week. ESSENTIAL DUTIES & RESPO NSIBILITIES The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by employees in this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description . Organizes the annual county fair as directed by the County Fair Board and County Commission. Oversee volunteer recruitment, selection, training and monitoring in relation to the Morgan County Fair. Works with Clerk-Auditors Office to ensure proper volunteer paperwork is filled out. Work closely with the Morgan County Recreation, Public Works Departments and the Sheriff's Office to coordinate schedules in order to prepare buildings, grounds, and work through other logistical needs for all events. Develop working relationships with various event organizers, local clubs, groups and associations throughout Morgan County and the State. Performs routine and non-routine bookkeeping duties, including accounts payable, receivable, and billing. Collects receipts, counts, and balances money, issues receipt, and maintains record of transactions. In conjunctions with the Fair Board Treasurer. Orders, receives inventories, stores and distributes supplies. Contacts vendors and suppliers as needed. Manages advertising and promotion of the fair using various types of media. Works with the County Commission to prepare and negotiate all entertainment contracts. Coordinates, prepares, and maintains schedules and agendas for meetings. Prepares assembles and distributes information. Attends Fair Board Meetings, records meetings, and publishes meeting minutes and agendas on the county website. Required to work nights and weekends during the yearly fair event. Performs related duties as required. MINIMUM QUALIFICATIONS Required Education and Experience: High school diploma (or GED equivalent). Up to one year of experience. Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities. Required Licenses or Certifications: Class C driver's license. COMPETENCIES FOR SUCCESSFUL PERFORMANCE OF JOB DUTIES Knowledge of: English grammar, spelling and punctuation. Principles and practices of basic bookkeeping. Modern office procedures, methods, and computer equipment. Principles and practices of marketing, sales, promotions, and public relations as related to county fairs. Secretarial and administrative support techniques. Basic principles of budget preparation and monitoring. Skill in: Interpersonal skills necessary to develop and maintain effective and appropriate working relationships. Performing a variety of duties, often changing from one task to another of a different nature. Performing basic mathematical functions such as addition, subtraction, multiplication, division, percentages, and ratios. Communication, both oral and written. Customer service. Leadership. Ability to: Meet schedules and deadlines of the work. Understand and carryout oral and written directions. Accurately organize and maintain paper documents and electronic files. Maintain the confidentiality of information and professional boundaries. Record and transcribe meeting minutes. Schedule and coordinate projects. Maintain accurate and complete records.
